Publishing Your Catalog
Publishing your product catalog on HyperQuote puts your materials in front of qualified buyers without the overhead of a sales team chasing leads. The portal accepts catalogs in any format you already use — PDF, Excel, CSV — and AI handles the heavy lifting of structuring your data.
Uploading your catalog
You do not need to reformat your existing catalog. Upload whatever you have: a PDF price list, an Excel spreadsheet, a CSV export from your ERP, or even a scanned document. The system accepts multi-page documents with mixed content — product tables, specification sheets, and images.
For large catalogs (200+ pages), the upload processes in the background. You receive a notification when parsing is complete and your catalog is ready for review.
AI-assisted parsing
Once uploaded, AI extracts structured product data from your documents automatically. The system uses specialized OCR and data structuring to identify product names, SKUs, descriptions, specifications, units of measure, and pricing from your original format.
The extraction achieves 85-95% accuracy on typical supplier catalogs. For tables and structured data, accuracy is higher. For free-form text and handwritten annotations, accuracy is lower. Every extracted field includes a confidence score so you know which items need your attention.
Review and approval
After parsing, you see a side-by-side view: your original document on the left, the extracted structured data on the right. Fields with high confidence appear validated. Fields with lower confidence are highlighted for your review.
You can edit any extracted field directly: correct a product name, adjust a specification, fix a unit of measure. For items the AI could not confidently extract, you fill in the blanks manually. This review process ensures your catalog is accurate before it goes live.
Each product requires an EGS/GPC product code for ETA e-invoicing compliance. If your products do not have these codes assigned, the portal helps you look up the correct classification. Products cannot appear on invoices without valid codes.
Publishing workflow
For trusted suppliers (those with an established track record on the platform), approved catalog updates go live immediately. For new suppliers or new product categories, the HyperQuote procurement team reviews and approves your catalog before it appears in the marketplace.
Published products appear in the browsing catalog with specifications, availability indicators, and price ranges derived from your pricing. Your company name is visible to the HyperQuote procurement team but product listings in the customer-facing catalog do not expose individual supplier identities.
Keeping your catalog current
You can update your catalog at any time by uploading a new version or editing individual products through the portal. The AI detects changes between versions, showing you a diff of what was added, removed, or modified. Bulk operations via CSV upload support percentage-based price adjustments across your entire catalog.
Suppliers who update their catalog and pricing frequently earn a "Verified Stock" badge and receive priority placement in search results and supplier sourcing.
