Order Tracking

Knowing exactly where your materials are — and when they will arrive — eliminates the phone calls and uncertainty that plague traditional building material procurement. The order tracking system provides real-time visibility from the moment your order is confirmed until materials are on your site.

Real-time order status

Every order moves through five clear stages visible in your portal:

  1. Order Confirmed — Purchase orders have been sent to suppliers. You see the expected preparation timeline.
  2. Being Prepared — Materials are being picked, staged, and readied for shipment at the supplier's facility or warehouse.
  3. Out for Delivery — The truck has departed. You receive an ETA window and driver contact details.
  4. Delivered — Materials have arrived, with photo proof and a signed delivery note on record.
  5. Invoice Generated — Your invoice is available in the Documents section.

For orders with multiple deliveries (different suppliers or split shipments), each delivery is tracked independently. You see a clear breakdown of what is arriving when and what remains outstanding.

GPS delivery tracking

When your delivery status changes to "Out for Delivery," a live map appears in the portal showing the truck's location in real-time. GPS updates come through at adaptive intervals — every 5 seconds during active delivery, every 15 seconds en route — giving you accurate position data without draining the driver's device.

The map shows the truck's current position, estimated time of arrival, and the delivery route. For multi-stop deliveries, you see where your stop falls in the sequence.

SMS and WhatsApp notifications

The system sends delivery updates through multiple channels to ensure you and your site team are prepared:

  • Order confirmed — WhatsApp and email with order details and expected timeline
  • Out for delivery — WhatsApp with ETA window and driver contact
  • Approaching site — SMS to the site foreman when the truck is within the delivery radius
  • Delivered — WhatsApp confirmation with delivery note and photos

Notification preferences are configurable per user. Site foremen typically want SMS for day-of alerts, while procurement managers prefer WhatsApp and portal notifications.

Delivery status updates

Beyond the five main stages, the tracking system shows detailed events: when the driver departed, geofence triggers when the truck enters your delivery zone (150-300m radius for construction sites — accounting for the imprecise boundaries of active sites), and arrival confirmation.

For Cairo deliveries involving heavy vehicles (5+ tons), the system displays the scheduled night delivery window (midnight to 6AM) and confirms when the truck has entered the approved delivery corridor.

Delivery history

All completed deliveries are preserved with full records: delivery date, driver details, the signed delivery note, proof-of-delivery photos showing the materials as delivered, and any annotations about condition or quantity. This history is critical for quality tracking, dispute resolution, and project documentation.

If materials arrive damaged or short, the delivery record is your starting point for filing a claim. Photos taken at delivery and the signed delivery note with annotations serve as evidence for the resolution process.
